Purpose of the PositionUnder the supervision of Coordinator In-House F2F, the position of Sites Organizer will be responsible to manage F2F sites and support the general administration and logistic of in-house F2F operations. BACKGROUNDUNICEF has been working in Indonesia for more than 60 years towards ensuring the rights and wellbeing of children in Indonesia. We focus on social programmes such as health and nutrition, water and sanitation, education, child protection and social protection. UNICEF is funded entirely by voluntary contributions such as private fundraising, including contributions from individual donors who were recruited via fundraising techniques such as Face-to-Face. Since 2015 UNICEF Indonesia initiated in-house Face-to-Face Fundraising operations. With encouraging result, the Private Fundraising and Partnerships (PFP) Unit would like to put in-house F2F operations becoming an established part of PFP by regularizing the positions related to in-house F2F management in order to ensure sustainability and retain talents.
MAJOR DUTIES & RESPONSIBILITIES: 1.F2F sites acquisition, development and management-Identify, survey and secure venues/sites requirements for the F2F program on daily basis by securing the sites for 7 days (Monday to Sunday) or 14 days (2 x Monday to Sunday) in advance in any public area with good traffic, such as streets, malls, exhibitions, airport, office building lobbies, restaurant rows, parks and recreational area.-Plan F2F venues on an ongoing basis in advance, ensuring sufficient venues/site for F2F program on daily basis and anticipate longer administration process, by building list of venues/sites database in the city and surround cities, and maintain good relationship with the managements by contacting the PIC of the venues and submit a proposal to get the space. It is recommended to propose for a pro bono space, asking for support from the venues management. However discounted space is last resort to get high traffic site. -Provide sites reports on regular basis and maintain accurate records of F2F sales per venues/sites by reporting schedule and location of venues/site that are happening for F2F and after the activity to record number of sales as achieved for every site in order to maintain location bring high sales for revisit.-Maintain good relationships with sites management, and ensure sites rules and regulation communicated to facers 2.Administration and logistic support -Plan the loading and unloading of F2F booths and its contents are in place; and monitor they are in good conditions.-Prepare payments and its supporting document to be processed in accordance to UNICEF rules and regulation-Attend to sites queries; escalate queries beyond prescribed types to supervisor and PFP colleagues in Jakarta. -Assist the Coordinator with administration and logistic support and collaborate well with the whole team of F2F, i.e. creative ideas of how the F2F program to be presence in certain venues.
Qualifications of Successful Candidate1. Hold secondary education with knowledge of marketing and sales, and training in the administrative/ clerical desirable. 2.Four years of administrative/clerical experience in the field of sales / marketing / fundraising experience with 2 year experience in face-to-face fundraising desirable.3.Computer literacy and the ability to effectively use standard office software tools, especially excels, and other office technology to create documentation, exchange and archive e-mail, and maintain electronic filing systems.4.Experience and knowledge of the UN/UNICEF operations is an asset.5.Fluency in Bahasa and English.
